Transaction History in SwipeSimple Dashboard

Located in the SwipeSimple Dashboard, Transactions allows users to view and report on transactions taken in the lifetime of their SwipeSimple Company. Admin Users will be able to see a full history, whereas Member Users will be limited to only view transactions taken by their user. SwipeSimple Companies with a SwipeSimple Payments Device will have a Create a New Transaction button in this report which will navigate the user to the Virtual Terminal where they will be able to process a payment.

Transaction Detail Window

In the Transactions section, the 10 most recent transactions that were processed in the last 90 days will be displayed by default. The dates selected will display in a chip on the top left of the transaction table. 

The date range can be expanded by using the report filter and the total transactions per page can be modified to show up to 100 transactions by using the dropdown menu at the bottom of the page. If you leave and return, the default view will return to pre-loading 10 entries per page.

Filters

The Transactions report can be filtered in a variety of ways. It includes a Search bar to enter in a key term to narrow down results. The filter button can be found next to the search bar and when clicked will present you with multiple options to filter report results.

Merchant Account: This filter will display if your Company has one Payment Device or multiple. The Payment Device filter is a drop down selection which allows you to select a single device or choose all devices. The default view for Transactions will display all. Transactions cannot be transferred between payment devices.

Taken By: This filter will allow you to further refine your search to a SwipeSimple user or users, while omitting others. 

Dates: Allows you to show transactions taken only within that range.

The date range filter expands when you click on it. SwipeSimple will offer some quick buttons to easily select some frequently used date ranges which you’ll see to the left. To the right, there will be two small calendars which allows for the selection of a custom date range. The first one represents the start date and the second represents the end date for your filter selection. A user must select a date from each calendar and then select the Apply button at the bottom left for the selected date range to take effect. If Apply is not selected, and a user clicks out of the calendar, the date range selection window will be dismissed without updating.

Paid By: A checkbox filter to narrow down payment method via Card or Cash

Type: A checkbox filter to narrow down transaction type, either Sale or Refund

Result: A checkbox filter to narrow down transactions by their result, Approved, Declined, Voided, or Errored.

Method: A checkbox filter to narrow down the payment method by which the transaction was entered, Keyed, Swiped, Dipped, Tapped, On File, Subscription, Installment, Invoice, and Payment Link

Brand: A checkbox filter to narrow down the card brand associated with a transaction, Visa, MasterCard, Amex, Discover, and Other

Filter selections will remain fixed for a SwipeSimple User for future reporting. Filters can also be a common root cause for reporting not displaying expected results. Transactions will display a note above the report results which will show how many transactions it is currently showing out of the number of total transactions available in the report. It will also display if the report is filtered from a total number of transactions that did not meet filtering criteria. 

Report Data

Transactions History displays in a table view with each row representing a transaction taken in your SwipeSimple account. The Transaction Number, assigned by SwipeSimple, displays as the first column. Each additional column header, which we’ll review below, will define the content in the table. Clicking on the arrows to the right of each column name will sort the table alphanumerically by the data within that column. A red arrow indicates the column that is currently sorting the table and in which order. The final row in the table will provide totals for each column.

Transaction #: The transaction number for a given transaction; this is automatically generated by SwipeSimple, non-sequential, and non-changeable. This will be hyperlinked to the transaction’s Details page.

Date: The date and time at which the transaction was processed.

Type: The type of transaction processed; either Sale or Refund.

Amount: The dollar amount that was processed in the transaction.

Result: The outcome of the transaction.

  • Approved: The transaction was approved by the processor.
  • Declined: The transaction was declined by the processor; the decline message will be visible on the transaction receipt on the Details page.
  • Voided: The transaction was voided by the merchant prior to settlement.
  • Errored: An error occurred when attempting to process the transaction; the final result of the transaction is unknown to SwipeSimple. It may have gone through to the processor and been approved or declined, or it may have never made it through.
  • Canceled: Similar to above, an error occurred when attempting to process the transaction. Typically these are caused on SwipeSimple Terminal by a timeout between SwipeSimple and the BroadPOS application.

Method: The payment method by which the transaction was entered. Options include Cash, Dipped, Invoice, Keyed, On File, Payment Link, Subscription, Swiped, and Tapped.

Brand: The credit card brand for the card associated with the transaction.

Last 4: The last 4 digits of the credit card number for the card associated with the transaction.

Auth Code: If the transaction was approved, this will show the authorization code code returned by the processor for the transaction.

Cardholder Name: The name of the cardholder associated with the transaction. If the transaction was keyed in, this will display the name entered by the SwipeSimple user; if the transaction was processed with a physical card, this will display the name returned by the issuing bank of the card. If the payment method was Tapped, the issuing bank may not return the name of the cardholder and instead return CARDHOLDER/BRAND.

Reference Number: If the SwipeSimple user entered a reference number when processing the transaction, it will display here. If the payment method was Payment Link, the title of the Payment Link will display here; if the payment method was Invoice, the Invoice Number will display here.

Tip Amount: If the SwipeSimple user entered a tip when processing the transaction, the tip amount will display here. Note that by default this column is hidden; it can be enabled by unhiding it in the Configure Table View setting.

Additional Report Details

Export: Clicking Export will automatically download a CSV file of your report data to your computer

Print Table: Generates a print window to send your report results to your printer

Configure Table View: Allows you to hide columns that aren’t applicable to your business.

Transaction Detail View

Users can navigate to the Transaction Detail window by clicking the Transaction Number hyperlinked in the Transactions Report. This will display a detailed view about this particular transaction broken up into sections, as well as offer a few options to interact with the transaction.

Overview

The first section will display an overview of the transaction type, result, date and timestamp, cardholder details such as name and last four digits of the card, reference number, and the SwipeSimple User who took the transaction. The Taken By User will hyperlink to the User management section of SwipeSimple. Transactions taken in the Payment Gateway either via Mobile App or SwipeSimple Payments via web browser will have buttons available to Refund and/or Void, as long as other factors such as user privileges and settlement status of the transaction are met. SwipeSimple Terminal and Register transactions can be viewed here, however refunding and voiding must be done on the physical device.

Related Information

This section will display hyperlinks for data related to the transaction such as the Customer profile, the Invoice Number, or the Scheduled Payment. If the transaction was subsequently refunded, both the original sale and refund transactions will have links here to their respective partner transactions and the amount. 

Payment Link Details

For transactions associated with Payment Links, there will be an additional section with hyperlinks to the Payment Link tied to this transaction, as well as any completed details on the Payment Link form you may have requested from the cardholder. 

Transaction 

This section will display a breakdown of transaction details including amount, date and time, Auth Code, Method, Cardholder, Card brand and last four, the user who took the transaction, and associated Merchant Account Name. 

Receipt History

This section will display the digital receipt history of both email and sms delivery with confirmation of delivery defined by red or green icons. Users will also see three interactive buttons: View Receipt, Send Receipt, and Print Receipt.

View Receipt: Displays a digital copy of the receipt in the web page. 

Sent Receipt: Generates a pop up to enter an email address or phone number to deliver the digital receipt

Print Receipt: Generates a print window to deliver the receipt to a connected printer.
